Anti-Abuse Policy
Sending reputation is shared among all Mailcheer customers. A single dishonest sender can damage it for everyone, and expose their recipients to fraud. This policy states what is forbidden, what we check, what we may decide, and how to challenge a decision or report abuse to us.
Version 2026-09-23 · updated on 23 September 2026
1. What this policy covers
It applies to every Mailcheer account and to every way of sending: campaigns, test emails, automations, the API and the MCP server (the connector that lets an artificial intelligence assistant act in your account).
It details article 5 of the Terms and Conditions, “Acceptable use and anti-spam”.
You are answerable for everything sent from your account: your own sends, those of the members you invite and those of the artificial intelligence assistants you connect to it.
2. What is forbidden
You may not use Mailcheer for:
- Phishing: any message that tries to obtain a password, a code, bank details or a payment by deceiving its recipient.
- Impersonation: pretending to be another brand, another person, a bank, a delivery company or a government body, or using a sender name, an address or a domain that is not yours.
- Writing without consent: to people who have not agreed to receive your emails and who are not your customers, or to addresses that were bought, rented, swapped, guessed or collected automatically from websites and directories (“scraped”).
- Re-subscribing someone who left: a person who unsubscribed, who complained, or whose address no longer exists. Mailcheer refuses to reactivate them on import; do not work around that refusal.
- Deceiving on what matters: a false subject line, a hidden or forged sender, an advertising message that hides that it is one.
- Spreading harmful links or files: malware, fake login pages, links whose real destination is hidden.
- Spreading illegal content: scams, banned or counterfeit products, hateful content, harassment, infringements of other people’s rights (copyright, trademarks, privacy), and any sexual content involving minors.
- Working around our checks: opening another account after a suspension or a ban, spreading sends across several accounts to stay under our thresholds, changing a message after its review to slip in what would have been refused, or trying to disrupt the service.
3. What we check
Before your first send
- You accept the sending commitment. We keep the accepted version, the date and your IP address.
- To write to your audience, your sending domain must be verified: it must carry the DNS records (the settings of your domain name) that we give you.
- Test emails only go to the addresses of the members of your workspace, and they count toward your quotas. As long as your domain is not verified, you can only send these tests.
When you import contacts
- You confirm that your contacts agreed to receive your emails, or are already your customers. Without this confirmation, the import is refused.
- We check the imported addresses: their format, whether a mail server exists for their domain, disposable addresses and generic addresses (such as contact@ or info@). The result is shown to you by category.
- An address that unsubscribed, complained, or whose mailbox no longer exists never becomes active again through an import.
While sending: the content review
- We review your sends at your first send, then each time your cumulative volume crosses certain thresholds.
- Until your account has proven itself, we also review new content between those thresholds, without pausing sending during the review.
- The review covers a sample of your messages: the subject line, the sender, the content and the links, with the site each one leads to.
- It is first carried out by an artificial intelligence model provided by Anthropic, one of our providers. During this review, sending is paused. It resumes on its own if nothing is found.
- This review never sends your subscriber lists. For a campaign, the message reviewed is the one a fictitious contact would have received. For an email sent through the API, email addresses, names, codes and strings of digits are masked before the review.
- Emails sent through the API follow the same thresholds. The same message template is reviewed only once.
- Once your account has proven itself, through enough volume without incident or through a validation by our team, the review continues on part of your campaigns, without pausing.
- The automatic review has three outcomes: sending continues; or it is paused for a human review; or, if the abuse is obvious, sending is suspended and whatever was still waiting does not go out.
- The review is used only to fight abuse.
The human review
- When the automatic review has a doubt, a person on our team reviews the message. Sending stays paused until their decision: it never restarts on its own.
- Our team is alerted as soon as sending is paused.
- Meanwhile, a banner tells you so in your workspace. You receive an email when the decision is made.
Bounces and complaints
- Over the last 30 days, we track the share of your emails that come back as errors (“bounces”) and the share of recipients who mark them as unwanted (“complaints”). Above our thresholds, a new send is refused.
- During a campaign, sending stops if an abnormal share of the emails comes back as errors.
- An address that complains, or whose mailbox no longer exists, is removed from your lists permanently.
The limit for new accounts
| Account age | Emails per day, at most |
|---|---|
| Days 1 to 3 | 100 |
| Days 4 to 7 | 500 |
| From day 8 | your plan’s quota |
This limit is lifted earlier if our team validates your account.
Content retention
- We keep the content of your sends for 30 days, then it is deleted automatically. For a campaign, we keep a single copy, not one per recipient.
- This content is used for the review and for handling reports.
- Every time our team views it, the access is recorded. Login codes contained in your emails are masked when viewed.
4. What we may decide
- Pausing. Sending stops for the time of a review. A pause is not a penalty.
- Suspension. No sending is possible from your account any more, by any route: campaigns, tests, automations, API, MCP server. A banner tells you so in your workspace. A suspension may be decided by the automatic review or by our team. Only our team can lift it, never an automated process.
- Ban. This permanently stops sending. It is never automatic: only a person on our team can decide it, after review. Nothing goes out from your account any more, by any route, and the contract ends under the conditions of article 8 of the Terms and Conditions: your subscription is cancelled immediately, with no further charge and no automatic refund. Your account remains viewable, and its data remains exportable.
A report can also lead to these decisions, after review.
The consequences for your subscription are those set out in articles 5 and 8 of the Terms and Conditions.
5. Your rights and remedies
- Being informed. A human review, a suspension or a ban is shown to you immediately by a banner in your workspace. The banner gives the reason for the decision and states whether it comes from the automatic review or from a person on our team. When a person settles a review, you also receive an email announcing their decision and, for a suspension or a ban, giving its reason.
- Challenging. Write to contact@mailcheer.com from your account’s email address, giving the name of your workspace. Explain why you believe the decision is wrong. Attach anything that can shed light on it: where your contacts come from, the page or form where they signed up, the dates. A person on our team re-examines the decision, never an automated process alone. We reply by email.
- Going further. If our answer does not satisfy you, the remedies set out in article 11 of the Terms and Conditions remain open.
6. Reporting abuse
Did you receive, through Mailcheer, an email you never asked for, or one that imitates a brand?
- To stop receiving a sender’s emails, use the unsubscribe link at the bottom of the message. It applies immediately.
- The “Report spam” button in your mailbox counts too. If your mailbox passes this report on to us, your address is permanently removed from that sender’s lists.
- To report abuse to us, write to contact@mailcheer.com. If you can, attach the message you received, forwarded as an attachment so that its headers remain readable. Otherwise, give the sender’s address, the date and the subject line. Say in a few words what the problem is, and give your name and an address where we can reply.
Every report is examined by a person. We let you know what action was taken.
7. Changes to this policy
Each version carries its date, at the top of this page. We may change this policy to keep up with fraudsters’ methods, changes to the service or changes in the law. A significant change is announced to you by email before it takes effect, under the conditions of article 10 of the Terms and Conditions. The version in force is always the one published on this page.
